POSITION DESCRIPTION

The jobholder is responsible for the execution of the voyage – planning and managing all aspects of the voyage from start to finish. He/she will be responsible for all operational elements of the voyage in order to optimize the voyage result, working in coordination with chartering department and other involved parties, whilst ensuring that customers’ expectations are met.

DUTIES AND RESPONSIBILITIES

The jobholder is responsible for managing all aspects of vessel operations within the relevant trade group. He / she will ensure that communication with all parties including vessels, local offices, procurement department, ship managers, agents, stevedores, other associated companies and sub-contractors is done correctly and in accordance with existing work instructions and valid charter-party and contract conditions.

The job holder will plan the voyage from start to finish. He / she will anticipate possible problems in advance and adjust plans as needed to achieve the most cost-effective solutions. He / she will respond to any problems that arise during the voyage and put in hand whatever corrective measures may be required.

The job holder will be responsible for optimising the efficiency of the voyage which includes minimising all voyage related costs and time.

To calculate cargo intake as may be required and co-ordinate the preparation of pre-stow plans in accordance with the Voyage Planning and Execution Procedure. The jobholder will manage the preparation and distribution of final stow plans, including detailed tier plans and load/discharge reports as required.

  • Being responsible for managing all issues relating to the execution of the voyage, this includes – but is not limited to – the following specific matters:
  • Responsible for ensuring that vessels are optimally bunkered.
  • Responsible for ensuring that the necessary equipment and consumables are available and ready in the ports as required.
  • Prepare and distribute Voyage Instructions.
  • Enrolling STTC vessels in WNI.
  • Nominate Surveyors as needed/required.
  • Managing Docs for Discharge.
  • Securing and filing of Sailing Docs.
  • Finalize Final Stow Plan, distribute and file.
  • Responsible for close coordination with the Port Captain and/or local operations staff throughout the loading or discharging of vessels as required in order to achieve the most cost-efficient coastal passage.
  • Responsible for the monitoring and follow up of all vessel performance issues, whether owned or TC ships, including off-hire.
  • Responsible for ensuring that the voyage management system, including the vessel’s schedule is kept properly updated at all times.
  • Responsible for ensuring all cargo documents are completed and distributed as required by BMS and/or Charter parties and/or contracts.
  • Responsible for ensuring that required Letters of Indemnity are prepared in accordance with company policy.
  • Responsible for ensuring that all necessary and appropriate notices are given to the insurance and claims department and that internal procedures are followed in case of any planned ice call.
  • In case of claimed damages to either ship or cargo, the job holder is to ensure that the appropriate actions are taken to protect the company´s interests, seeking guidance as needed.
  • In addition to the above prime voyage related responsibilities, as a member of the operations management team, the jobholder will also participate in and contribute to other operational activities, including other internal demands.

 

These duties will include – but not be limited to – the following tasks:

  • Supplier management: take a proactive approach to support the Company’s need to monitor and manage our suppliers of port services effectively, coordinating between feedback from local staff and the regional operations team.
  • Assist in contract renegotiations etc. as may be needed.
  • Ensure that all Company systems and records
  • Ensure administrative tasks such as, follow up of Macura, approval of FDA`s and invoices etc.
  • Gather information as necessary in order to support trade meetings, discrepancy meetings, management reporting plus other operational enquiries.
  • Contribute to the preparation and execution of Action Plans

 

QUALIFICATION

  • Bachelors level degree, preferably in maritime or shipping operations
  • Operational experience, preferably in dry cargo/break-bulk
  • Preferably 3 years shipping experience – in a similar role
  • An individual who has high integrity, honesty, self-discipline, and attention to detail
  • Candidate should have authorization to work in the US without any sponsorship.
